Job Description

Database, IT & Fundraising Manager (full-time)

The role of Database/IT & Fundraising Manager is to raise funds and help raise the profile of Viva! and VVF; manage Viva! and VVF's databases and donor and 'membership' systems and to oversee all aspects (except creative) of direct marketing campaigns. To organise other fund raising activities and events, particularly relating to database useage. To manage Viva! and VVF’s IT and phone systems. The Fundraising/IT Manager reports directly to the Director.

Plan annual fund raising strategies - mainly direct marketing strategies (and, when relevant, other strategies and fund raising events)

Manage dataprocessing eg

  • the capturing, collecting and inputting of data
  • ensuring all merchandise/book buyers, general enquirers, donors, prospects etc. are entered on relevant MS Access databases
  • processing data for output
  • deduplication
  • making and outputting selections
  • using sleepers
  • coding all campaigns/materials etc.
  • creating MS Access tables/queries etc for staff use
  • improving MS Access for staff use
  • producing staff ‘how-to’ sheets on the use of MS Access
  • training staff in use of MS Access

 
Manage production eg organise throughput of direct marketing campaigns including liaison with printers and mailing houses; provide specifications for and check proofs from printers and mailing house; give delivery dates and addresses for direct mail, inserts etc; give production deadlines to relevant staff

Get quotes from mailing houses and printers for direct mail (and other direct marketing campaigns when requested)

Evaluate most economical mailing methods; deal with Royal Mail and organise Mailsort/Press Stream etc

Improve profitability of direct marketing campaigns

Produce budget report for the director for each fundraising activity

Organise list swaps/purchases and merge/purges 

Organise magazine insert swaps for Viva!Life magazine

Build profiles of customer databases

Keep up to date on the law regarding direct marketing

Manage Viva! and VVF 'memberships' eg
Increase number of supporters and produce campaign/monthly reports on progress
Increase number of renewals from adult supporters ie develop loyalty to Viva! and VVF eg regularly review and improve renewal materials
Regularly review supporter/renewal letters
Write drafts of letters to supporters eg new supporters/Viva! Friends/high donor letters for Director to use as a basis
Process adult supporters and renewals on database; send out 'membership' and renewal packs promptly (ie aim for packs to go out within one week; three weeks maximum)

Review letters sent to general enquirers of Viva! and VVF (sent in general info and go veggie packs) monthly

Evaluate other direct marketing methods eg telemarketing, doordrops etc and organise tests

Increase distribution of Viva!/VVF materials other than by direct mail

Produce legacy pack(s) and promote legacy giving to Viva! and VVF

Devise other methods of increasing our supporter bases

Produce statistical and financial analyses of all direct marketing actions

Organise street collections, liaising with supporters and councils

Operate as systems manager, looking after one on-site server (SBS 2000) and all PCs.  Develop working knowledge of a variety of software packages including MS Exchange, MS Office, MS Publisher, and internet and e-mail applications. Train and assist staff with IT systems and packages. Purchase computers and printers.
